From incoming requirements to a quotation your sales team can review.

Sales staff should not have to start every quotation by searching through disconnected systems and copying the same information into another document. A tailored workflow can gather the relevant inputs, prepare the draft and put the exceptions in front of the person who needs to decide.

Illustrative example, not a client case study

Five stages

  1. Capture the requirement

An authorised enquiry, brief or specification is read and turned into structured requirements, with anything unclear marked.

  2. Find relevant products and context

Suitable products, alternatives and related project information are found in the sources this workflow is permitted to use.

  3. Retrieve and validate the commercial inputs

Prices, availability and terms come from the system that owns them, with the time they were checked.

  4. Prepare the quotation and exceptions

The draft is built with your agreed calculation rules. Shortfalls, missing details and conflicts are listed, not hidden.

  5. Hand it to the authorised reviewer

The reviewer receives the exact draft, the evidence behind it and the unresolved items, and decides what happens next.

Approved. Issuing it to the customer is a separate step, switched off in this example.

Sent back with the note “Confirm the delivery address.”

After the review

This illustration ends at a review-ready draft. Issuing the approved version, or updating another system, can be added as a separately enabled step. When it is, the reviewer approves the exact content and destination, and the action runs only under your workflow’s execution rules. Purchase orders, payments and the wider order-to-installation process are separate scopes.
